Light benefits on the employee file

Name the plans you already offer and record enrollments on the employee file. Light benefits admin — not a carrier platform, broker marketplace, or open-enrollment engine.

When finance asks who is on the family medical plan, the answer should be on Jordan’s file. Too often it lives in a broker portal and a sheet named ENROLLMENT_FINAL. The next person covering the desk cannot find it.

What you record

Operators name the plans you already have: medical, dental, vision, retirement, or the codes Elena already uses. Enrollment on the person is enrolled, waived, employee-only, or family.

Site and manager already live on the people directory. The plan list does not get a second roster. Employees can see their own elections on Me. Benefit packets and acknowledgements still live on documents and e-sign.

That is the job: the plan list, and who is on it.

What you do not get — on purpose

We do not shop carriers. We do not quote premiums. We do not run open enrollment as a broker. We do not send a carrier EDI file. We will not rank other benefits products on this page.

If you need a marketplace, a quote engine, or a file to an insurer, keep the system you already pay. Put the enrollment on the employee file so people ops is not the only person who can answer finance.

Coverage is a different page

Who is out Thursday still lives on the PTO calendar. That grid is approved leave so Maya can staff the Dallas yard. Pending requests stay off the calendar. Birthdays stay off it. Plan elections stay off it.

Do not confuse the shared leave calendar with benefits admin. One is coverage. The other is the plan list on the file.

A week that uses the file

Elena names Medical PPO, dental, vision, and 401(k) — the plans the company already offers. On Jordan’s file: family medical, employee-only dental, waived vision. He starts Monday. The plans sit next to site, manager, and the handbook.

Elena is out. Finance asks who is on family medical. The next operator opens the file. They do not hunt a portal.

A new hire week should not hide elections in a welcome email someone forgot to file.

Light benefits is one slice of the employee file. Time, leave, documents, and hire checklists hang off the same person. Roles still decide who sees what. HR-only notes stay off the team view.
